Receptionist – Boys Ranch

SUMMARY

The Boys Ranch Receptionist is a very important position, not only as the means for the processing of communications, but also as the person who first sets the impression of the Florida Sheriffs Youth Ranches.  The employee in this position processes both internal and external telephone calls, monitors radio communication, greets visitors, arranges for tours; and in general, is instrumental in ensuring that the purpose of their visit has been met.  Clerical duties will be performed as time permits.

This position is directly responsible to the Office Manager.

This is an hourly, nonexempt position.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties and responsibilities are given as examples of the various types of work performed in this position.  Other duties and responsibilities may be assigned.

  1. Greets guests in a professional, friendly, and hospitable manner; determines the purpose of the visit, obtains guest book signature, and assists with tour arrangements as needed.
  2. Professionally administers all phone calls and redirects accordingly; calls are handled quickly and efficiently and appropriate messages are recorded and forwarded in a timely manner.
  3. Ensures receptionist/lobby area is clean and free of clutter and there is a sufficient supply of informational materials and visitor packets available for visitors.
  4. Performs a variety of clerical duties including, but not limited to, maintenance of the following: Duty Directors notebook on a daily basis, former Rancher and Staff listing, staff home phone numbers for emergency purposes, Alumni, Memorial and Ranch History yearbook, and telephone, radio logs and staffs’ availability and location.
  5. Type memos, correspondence, reports, and other documents.
  6. Provides back-up to Office Manager to ensure invitations are mailed in a timely manner for the Boys Ranch Banquet (Christmas Banquet, Senior Awards and Recognition Banquet). This includes developing programs, ordering decorations and decorating for all Boys Ranch banquets.
  7. Ensure all bulletin boards are kept up-to-date and bulletins are posted in an aesthetic manner.

EDUCATION AND EXPERIENCE REQUIREMENTS

High school graduate or equivalent with at least one year experience in an office setting.  Experience as a switchboard operator or receptionist and experience with MS Office is desired.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

To perform this job successfully, an individual must be able to perform each area of responsibility satisfactorily.  The requirements listed are representative of the knowledge, skills, and/or abilities required.

  1. Excellent phone etiquette and verbal communication skills; outgoing person with the ability to relate to and converse with many different types of people.
  2. Must have ability to multi-task and to maintain composure and function efficiently during periods of high activity.
  3. Working knowledge of general office procedures.
  4. Knowledge of proper radio language and procedures and personal computer use.
  5. Must have analytical, math, and grammar skills sufficient to meet minimum standards of the Youth Ranches Skills Test.
  6. Must have the ability to learn the many staff and their responsibilities in order to accurately and expeditiously refer telephone calls and guests.
  7. Must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedural manuals; ability to write routine reports and correspondence; ability to speak effectively with groups.
  8. Must have a valid Florida Driver License and be able to maintain a safe driving record consistent with agency policy.

While performing the duties of this job, the employee is regularly required to sit, talk, hear, and reach with hands and arms to finger, handle or feel regularly. The employee must regularly lift and/or move up to ten pounds.  Specific vision abilities required by this job include close, distance, color, peripheral, depth perception, and the ability to focus.

WORKING CONDITIONS Work is generally performed in an office environment and the noise level of the work environment is usually moderate in nature.

BASE SALARY
$15.00/Hour
