SUMMARY
The Administrative Assistant to DOE provides clerical support for the educational programs for FSYR Donald Ralph Cooke School. The Administrative Assistant to DOE coordinates student educational records, sets up ESE files, registers students and prepares reports for the FSYR Board, Main Office, and Administration Office. The Administrative Assistant to DOE is responsible for locating, preparing, and assisting in ensuring that appropriate materials are available for the teaching staff and for maintaining an appropriate and current educational file on all youth in residence.
The Administrative Assistant to DOE is directly responsible to the Director of Education.
This position is eligible for overtime pay.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties and responsibilities are given as examples of the various types of work performed in this position. Other duties and responsibilities may be assigned.
- Develops and maintains an individual educational record on all community students and youth in residence and prepares registration forms for all community students and youth in residence. Request additional school ESE and Medical information for new students.
- Provides clerical support for staff members with educational commitments to the FSYR Donald Ralph Cooke School’s program and ensures that adequate supplies, materials, and forms are available for use by educational staff.
- Updates registration / discharge reports each semester or more frequently as students register or discharge. Completes quarterly activities and GPA report for the Executive Administrative Specialist.
- Coordinates or assists with all aspects of the Prom, Family Engagement Days, Awards Banquet, and Open House for FSYR.
- Conducts tours of the FSYR Donald Ralph Cooke School for guests as needed. Manages all functions of the FSYR Donald Ralph Cooke School Library.
- Maintains current census to be updated as changes warrant.
- Records minutes of FSYR Donald Ralph Cooke School; and types and distributes the minutes appropriately.
- Processes incoming U.S. mail, including agency and inter-agency, and gathers all needed support information, forwards it to the Director of Education or Cooke School staff as appropriate, or retains that which can be handled at a secretarial level.
- Receives incoming telephone calls for the Director of Education in their absence.
- Communicates all activities and reports for FSYR Donald Ralph Cooke School with residential parents, community parents, and FSYR staff.
- Responsible for providing information and reports to maintain compliance with the State of Florida Office of School Choice.
EDUCATION AND EXPERIENCE REQUIREMENTS
The person filling this position must be a high school graduate with training in a secretarial program desired. A minimum of two (2) years’ experience in a responsible clerical or secretarial position and/or vocational training is preferred.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

- Must have analytical, math, and grammar skills sufficient to meet minimum standards of the Youth Ranches Skills Test.
- Must have a good understanding and knowledge of the English language in oral and written form.
- Must have a good working knowledge of standard office procedures.
- Must have basic knowledge of office management.
- Must have a basic knowledge of statistics and be able to select and combine data from various sources and present in final form for signature and release.
- Must have a pleasant telephone voice and personality and be able to take accurate information over the telephone.
- Must have the ability to read and interpret documents such as operating, instructional, regulation, and procedural manuals.
- Must have the ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.
- Must have a valid Florida Driver License and be able to maintain a safe driving record consistent with agency policy.

WORKING CONDITIONS
Work is generally performed in an office environment. There are no special conditions.
BASE SALARY
$15.00 Hourly
